Terms and Conditions

For leisure or business breaks at Dove Farm, prospective guests may like to refer to our terms and conditions before confirming their booking. When a leisure booking is made, and deposit paid, a contract of hire then exists between the hirer (named person making the booking) and the owners of Dove Farm. When written or email confirmation is received for a business booking, then a contract of hire exists between the company making the booking and the owners of Dove Farm.


1. Booking and payment
• A deposit is required to secure leisure bookings (generally 50% full price)
• Payments are to be made by cheque, payable to H W Stretton, and sent to Dove Farm, Mill Lane, off Dove St, Ellastone, Ashbourne Derbys DE6 2GY.
• Deposits are generally non-returnable, however this is at the discretion of the owners.
• For bookings made less than four weeks before date of stay, payment in full may be requested at time of booking.
• A contact name, and contact details, including postal address, will be required at time of booking. The person making the booking, will be considered to be the hirer unless otherwise advised.
• All payments will be acknowledged in writing or by email.
• The balance is payable on arrival (cash or cheque)

• Payment terms for Business guests are 30 days from issue of invoice
• Business cancellations will require 50% total cost of booking to be paid


2. Cancellations
• We advise anyone needing to cancel, to contact the owners immediately and discuss the situation.
• The owners reserve the right to retain deposits paid, other than in exceptional circumstances.
• We will do our best to re-let the cottage, and should we be successful, a refund of deposit will be made, after an administration fee of £25 has been deducted.
• Guests may wish to consider cancellation insurance. (Contact details of insurers are available from owners.)


3. Arrival and departure

• Leisure guests may have access to the cottages from 4.00 pm on day of arrival and are requested to leave by 10.30 am at the latest, on day of departure
• We are usually at the farm to welcome guests, and hand over keys to the cottages. Should this not be the case, we will make other arrangements with guests, prior to their stay
It is an essential condition of hire, that cottages are left in good order and in the same clean and tidy condition in which they were found on day of arrival. (Simply leave bedlinen and towels for us to sort and package up.)


4. Staying at Dove Farm
• Dove Farm cottages and Dove studio are non-smoking throughout.
• Top sheets, bottom sheets, and quilts (used as bedspreads) are provided, plus 2 pillows per person. 2 towels per person are provided as well as a hand towel for each bathroom and 2 teacloths for the kitchen. Extra blankets are available in each cottage. Cot sheets and baby quilts can be provided with a small laundry charge applicable. Otherwise we expect parents to bring own cot bedding for their baby.
• Combination boilers provide constant hot water in all cottages.
• The cottages have LPG gas central heating, and a generous amount of heating is included in the price. Heating is on a timer switch and is seasonally adjusted. There are living flame convector heaters in the living rooms, for guests to use at their discretion. We do not provide all day long heating.
• Parents are expected to take full responsibility for the wellbeing and supervision of their children during their stay.
• For health and safety reasons, there are areas of the farm where guests are not permitted
• The owners shall be allowed access to the cottages at any reasonable time.


5. Capacity
• Maximum accommodation capacity for Dove Farm Cottages, is 18 + 2 cots/tots. Any requests for additional guests must be discussed and agreed with the owners, prior to arrival date.
• Final numbers of guests should be confirmed by the hirer, 1 week before date of arrival.
• Extra guest beds incur a small laundry supplement per bed.
• Guests inviting additional people to the farm, as day visitors, must inform the owners that this is happening.
• Due to fire safety and insurance terms, additional day visitors may not stay over as residential guests, unless otherwise arranged and agreed with owners.


6. Dogs
• Dogs are welcome by prior agreement and arrangement only.
• A maximum of two dogs is permitted, unless circumstances are exceptional.
• A supplementary charge of £15 will be made per dog for short breaks and £20 for weekly lets.
• Our own farm dog is not always friendly towards other dogs. In order to avoid any opportunity for aggressive behaviour, doggie guests must be kept on a lead at all times in the immediate area around the cottages entrance, farm yard and car park. There are plenty of nearby walks, where dogs can happily run free.
• Dog owners will need to be vigilant that doors to the cottages, are not left open by other guests, thus allowing their dog to wander outside unattended.
• Guests are required to bring the dog’s own bedding, and not allow the dog up on furniture or beds under any circumstances. Dogs are not allowed upstairs at all in Barn Owl Cottage.
• Dog owners are requested not to wash pet bedding in the washing machines in the cottages.
• Dogs must not be allowed to foul the patio garden belonging to the cottages. Please take dogs for regular ‘toilet walks’ and always clean up after your dog.
• Dogs must not be left unattended in the cottages (except for emergency situations). It is simply not fair on the dog. We do not offer a kennel service for doggie guests, however we are happy to provide information on local kennel services, if these are required.
• Please ensure therefore that you consider the welfare of your dog before bringing him or her away with you – and remember , never to leave a dog in a hot car, while you visit an attraction.
• Doggie guests on a farm, require particular supervision from dog owners.
Please be aware that we have free range poultry, pets and children, and dogs should not upset or harrass any of them!
• Dog owners are responsible for and will be expected to pay for any damage caused by their pet


7. damages
• A deposit for ‘responsible use’ is payable by all leisure guests, and is due when the final balance is paid.
• We understand that minor breakages do occur from time to time. It is part of everyday living, and we do not expect payment for the odd glass or cup here and there. Please tell us about breakages, so we can replace as required
• The owners shall be allowed access to the cottages at any reasonable time.
• Breakages and/or damage of a more substantial nature must be paid for. The person who made the booking (the hirer) will be responsible for any damage caused.
• Any defects will be pointed out to guests at time of arrival, and the owners will then ask to walk round the properties with the hirer , before their departure. If all appears in order, the responsible use deposit will be refunded in full.
• Should damage or defect be found after guests have left, irrespective of whether damages deposit has been returned or not, then the hirer will be informed and invoiced accordingly.

8. disclaimer
• Every effort has been made to ensure that information provided on this site is correct. While misunderstandings can occur, information has been compiled in good faith, and it is to be hoped that a mutual agreement can be reached. Prices and services may be changed at the discretion of the owners and on occasions, may differ from what is shown on the site. Where owners are aware of such differences, they will be pointed out and explained to guests, so guests are able to make an informed choice. 9. limitation of liability
• The owners are not liable for any losses or damages resulting from information provided on our site. The owners are also not liable for any losses or damages incurred by guests during their stay at Dove Farm.
